Getting messages to staff in schools can be a nightmare with post-it notes left in pigeon holes or stuck in registers for collection at a later date. But what if your school had secure and reliable virtual pigeon holes?

The very nature of a school means most members of staff will be teaching for the majority of the day. In small schools, that will include the headteacher too.

If someone phones in to speak to a member of staff that is teaching, the call cannot be transferred as they will be in the middle of a lesson if indeed they even have a phone in the classroom.

The usual procedure will be for a receptionist to take a message, write it down and put in a staff pigeon hole or tuck it into a register for collection later in the day.

This not only takes up valuable time that the receptionist could spend on other tasks but also leaves the message-taking process at risk, in that a post-it note is easily lost.

The solution is to use virtual pigeon holes whereby calls are transferred to individual staff voicemail or email accounts. These voicemails can be accessed either:

  • Via a shared telephone handset in a staffroom or office – a message waiting light will signify which user has a message and each voicemail inbox assigned with a different PIN for security
  • Via email in which the voice message is attached as a sound file

Staff members can then access their messages at any time. And as the messages are voicemails, there is no risk of the detail and the tone of the message being lost in translation.
