Looking after small businesses to help them work smarter

I often get asked by small businesses if they are too small to be of any interest to swcomms. My answer is always an emphatic “No”! In fact, small businesses can be extremely satisfying to work with. With a little bit of handholding, we can make a real difference to their business image and day to day operations.

One of the first things I always spot is their email. If their email address sports a domain, such as @gmail, @btinternet, @hotmail.com, I immediately advise them to change it. We can upgrade it to a more corporate and customer-friendly address, such as bobtheboss@bobworld.co.uk that usually matches their website domain. Any incoming emails can be received by this address and, more importantly, any outgoing emails will bear this address too. It gives your potential customers the confidence that they are dealing with a professional business, not one that is being run out of a garden shed. You may well be running your business from your garden shed, but they do not need to know that! We will migrate all your existing emails and their folders to your new service, so you do not lose any saved messages.

The way your email looks is also important. Customers and prospective customers expect a branded email. At the very least, it should bear your logo and contact details, but there is also an opportunity to push marketing messages too, such as to request referrals or to request a review. If you think about how many emails you send out every week, you are missing an opportunity if you just send out a plain text email.

We all know flexibility is key to small businesses. With less staff, it’s often an all-hands-on-desk approach. This can be tough if staff members cannot come into the office. COVID-19 has highlighted that having the flexibility to work from anywhere is crucial to keeping a business operational. Staff need to be able to access the office tools they need wherever they are working. Using a cloud-based service, such as Microsoft 365, gives them the ability to access emails, files and tools like Word, Excel, PowerPoint, from multiple devices, as well as using Teams to stay in touch with colleagues via video or audio calling or instant messaging. We can add voice services to Teams too to turn it into a full-featured phone system.

As part of our service provision, we offer IT support, so there is someone to turn to whenever you come up against a technology issue you cannot resolve. I can also advise on the security services that would suit your business to protect it from falling foul at the hands of cyber criminals.

In my experience, a few low-cost subscription services can make a vast difference to how a small business operates to help them concentrate on more profitable tasks and, hopefully, growth.
