St Patrick’s Catholic Primary

St Patrick’s Catholic Primary School is a Southampton primary school with more than 400 pupils aged four to 11.


The issue:

The school contacted swcomms as their existing phone system had come to the end of its natural life and that they were looking at a cloud-hosted replacement to combat the impending switch-off of all traditional phone lines.


As a result of the pandemic, the school was already using Microsoft Teams for remote teaching and for communication between staff.


We discussed the school’s requirements and whether the Teams phone app would be a suitable replacement system. This meeting quickly developed into a full demonstration of Teams and the features that the school could utilise by purchasing the appropriate licensing.


The solution:

By integrating the phone app with their existing Teams set-up, St Patrick’s is able to make and receive calls from PCs, laptops and mobile devices, no matter where staff are working, which is perfect for combining teaching from home and in the classroom.


The Microsoft Teams Phone System app can also be used with traditional handsets. We supplied eight Yealink handsets, which are optimised for the app, and include all the button-based features receptionists, office staff and senior leadership team members are used to.


St Patrick’s was keen to make full use of the voicemail transcription service. Rather than flooding the phone lines first thing in the morning to report a pupil’s absence, parents can leave a quick voicemail, which will then be emailed over to staff to deal with at a more convenient time.


This, combined with other features, such as a choice of ringtones to differentiate between calls, the option to set groups to overflow calls at busy times, and call queuing features to help route calls to correct departments, all contribute to taking the pressure off office staff.


St Patrick’s staff continue to view the presence of their colleagues via colour indicators on the Teams app. They can send instant messages, share files and their screens, and initiate video meetings too to give them multiple ways of communicating with each other and the school’s callers on a single easy-to-use platform.


The switch to the Teams phone app allowed the St Patrick’s to leverage the free basic Microsoft 365 licensing provided to schools and to take full advantage of education pricing to dramatically reduce their monthly telephony costs.
